Client Intake & Qualification

From manual application review to structured routing

Project Overview

Client Intake & Qualification was built around a common service-business intake process where new applications need to be reviewed, assessed, and routed before the next step can happen. Instead of handling each submission manually, the workflow turns an incoming application into a structured process that prepares the data, evaluates whether the applicant meets the defined criteria, and routes the result to the appropriate next actions.

Different outcomes follow different paths: qualified applicants can move into the next stage of the sales process, while applicants who are not a current fit can receive the appropriate response and be handled separately. Duplicate and incomplete submissions are stopped before they create unnecessary downstream work, and each outcome is recorded for operational visibility. The result is a more consistent intake flow that keeps qualification, routing, follow-up, and internal handoffs clear and reliable.

Problem

New client applications required several human decisions and manual handoffs: reviewing the submitted information, deciding whether the applicant qualified, routing the application to the right next step, updating CRM records, maintaining an application log, and triggering the correct follow-up. Outcomes could vary from one application to another, while duplicate or incomplete submissions created additional work and made it harder to maintain a clear view of the pipeline.

Solution

The workflow connects application review, qualification, routing, follow-up, and CRM updates into one automated intake process. Qualified applicants move into the next stage of the sales process, while applicants who are not a current fit follow the appropriate path for their outcome.

It also includes safeguards for duplicate and incomplete submissions, so those cases can be stopped before they create unnecessary downstream work. Each processed outcome is recorded in a centralized application log, giving the team a consistent view of how every application was handled.

Safeguards

Duplicate submissions and applications missing required information are detected and stopped before they can trigger unnecessary CRM activity, follow-up, or further routing. Not-qualified applications are handled through their own path and recorded in the centralized application log alongside other processed outcomes, preserving a clear operational record of how each application was handled and keeping those applicants available for possible later follow-up.

What was built

The build includes an automated client intake workflow with qualification and outcome-based routing, CRM updates for qualified applicants, internal notifications, email follow-up, and a centralized application log. Built-in handling for duplicate, incomplete, and not-qualified submissions keeps exceptions from disrupting the main flow.

Expected Impact

The automated intake process creates a faster and more consistent path from application to the appropriate next step. It reduces manual review and handoffs, helps prevent duplicate CRM activity and repeated follow-up, keeps applicant communication consistent across different outcomes, and gives the team clearer visibility through structured application logging.
