Paid Client Onboarding

From completed payment to project-ready handoff

Project Overview

Paid Client Onboarding was built around a common service-business onboarding process that begins the moment a client completes payment. Instead of leaving the next steps to manual coordination, the workflow turns the payment event into a structured handoff that prepares the client workspace, delivery materials, internal tasks, communication, and operational records.

The system was designed to handle multiple service tiers within the same process, while also protecting against duplicate events and routing unexpected cases for review. The result is an onboarding flow that moves a new client from payment to a project-ready state with fewer manual handoffs and clearer operational visibility.

Problem

After payment, onboarding still depended on a series of manual steps: creating client assets, setting up delivery tasks, sending communications, notifying the team, and recording what had been completed. As the number of service tiers increased, the process became harder to manage consistently, with more opportunities for missed handoffs, duplicate work, and incomplete records.

Solution

The automation connects the main post-payment onboarding steps into one controlled workflow. A successful payment triggers the process, the purchased service tier determines the correct onboarding path, and the system creates the client workspace, onboarding documents, and the delivery task, sends the necessary notifications, and records the outcome in an operational log.

The workflow also includes safeguards for duplicate events and incomplete or unexpected payment data, so normal cases can move forward automatically while exceptions are surfaced for review.

Safeguards

The workflow is designed to handle cases that fall outside the standard onboarding path. Duplicate payment events are detected and stopped, unknown or unmapped tiers are sent to a fallback path for review, and incomplete payment data can be enriched before onboarding assets are created. The process is only marked as completed after the required downstream assets have been successfully created.

What was built

The build includes a payment-triggered onboarding workflow with routing across three service tiers, duplicate-event protection, client workspace and onboarding document generation, delivery tasks, internal and email notifications, and an operational log. A fallback path handles unmapped purchases, while shared logic keeps the main onboarding steps consistent across all service tiers.

Expected Impact

By moving the main post-payment steps into one controlled workflow, the automation creates a faster and more reliable transition from payment to delivery. It reduces manual coordination, prevents duplicate onboarding actions, keeps communication and setup more consistent across service tiers, and provides a clearer operational record of what happened for each client.
